Job Description:

Provide high-level administrative support by conducting research, preparing reports, managing executive and organizational calendars, handling information requests, and performing clerical functions such as: preparing correspondence, receiving visitors, arranging phone calls, and scheduling meetings

Responsibilities:

The Executive Assistant is responsible for the following:

  • Manage and maintain the schedules of the executives
  • Prepare invoices, reports, memos, letters, financial statements and other documents using word processing, spreadsheets, database, and presentation software
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan for their distribution
  • Prepare responses to correspondence containing routine inquiries
  • Open, sort, and distribute incoming correspondence, including faxes and emails
  • File and retrieve corporate documents, records, and reports
  • Greet individuals and determine whether they should be given access to specific individuals and employees

Qualifications:

  • Clerical- knowledge of administrative and clerical procedures and systems such as word processing; managing files, records, and transcriptions; designing forms; and other office procedures and terminology
  • Language- fluency in Haitian-Creole and knowledge of the structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar
  • Characteristics- highly organized, self-motivated, and has the capacity to problem solve and demonstrate critical thinking in a fast paced environment
  • Shares and agrees with The 410 Bridge statement of faith
  • Customer and personal service- knowledge of principles and processes for providing customer and personal services, including: customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
